The Travel Coordinator will deliver administrative assistance to the Incentive Trips & Travel Department within the Travel Team. Key duties encompass data entry, arranging department files, records, and documentation, and aiding Travel Agents/Planners with tasks including processing invoices, performing travel research, data collection, and reporting. *This role is full-time at the office and will be located in Irvine, CA.

 

Key Responsibilities:

  • With assistance from the Travel Agents/Planners, helping with the processing of travel invoices and reconciling direct invoices for hotels, car rentals, and travel management fees.
  • Addresses general internal and external travel inquiries and requests, keeping and updating travel profiles in Concur
  • Aids in group travel data entry flight manifests and produces reports, unused tickets, and cost savings documentation, processes, and procedures
  • Assists with sending credit card authorization payments for hotels, acquires travel receipts and hotel folios
  • Supports Milestone/Anniversary trips, website edits, and research and assist with monitoring and maintaining meeting planner points and usage

Work Schedule + Perks

  • Full-time, Hourly, Non-Exempt
  • Pay Range is $26.50 – $29.25 per hour
    The aforementioned represents the anticipated pay range for this job requisition. Ultimately, your pay will be determined by your experience and other job-related aspects.
  • Office Hours: Mon-Fri, 8:00 am-5:00 pm with occasional evening and weekend hours for event support.

Qualifications:

  • High school diploma or GED mandated
  • Associate’s degree or higher in travel, hotel/hospitality preferred
  • 2-3 years of experience in customer service or data entry required
  • 1-2 years of administrative or coordinator level experience preferred
  • Experience within the travel industry, including airport codes and world geography preferred
  • Demonstrated problem-solving abilities, effective verbal and written communication, planning and organizational skills, critical thinking, and interpersonal strengths.
