(This information can also be located on the Student Travel Support Form.)
Follow the steps below to apply for student travel assistance
- Submit your poster abstract
- Register for the 2025 Joint CEDAR/GEM Workshop
- Complete the student travel support form
*Note: your advisor will receive an email upon your submission of the student travel support form with instructions to complete the Advisor Financial Aid Recommendation Form.
All of this must be finalized by Friday, March 21, 2025.
Please review the information below regarding logistics for student assistance.
This Year’s Updates
The deadline for the CEDAR Student Travel Support Request is Friday, March 21st, 2025. Students will be informed if they have been chosen for travel assistance by Friday, April 11th, 2025. For further details, refer to the Student Selection Criteria.
Students who apply for travel assistance following March 21 will receive support if funding permits. For any inquiries, please reach out to Maggie Payeur at [email protected]. Thank you.
Flight Costs
Airfare for students receiving travel assistance will be arranged through UCAR CPAESS Travel, and will be directly billed to UCAR. Students will not receive reimbursement for airfare purchased independently. The CPAESS travel team MUST arrange flight bookings.
UCAR CPAESS Travel Coordinators will contact you one week after you’ve been notified about your travel assistance. You will collaborate with them on booking the flights you prefer. CEDAR can currently accommodate only domestic flights for students enrolled at U.S. degree-granting institutions. Students from non-U.S. institutions can request assistance for lodging and waiver of registration fees.
Driving Assistance
Students who choose to drive their own vehicles will be reimbursed for round-trip, direct mileage up to the maximum amount equivalent to airfare posted in March, or $450.00, whichever is lower. Direct mileage is calculated via the Rand McNally online site from your departure city to Des Moines, IA.
Lodging for Students
Lodging for students has been organized at the Hilton Des Moines Downtown and will be provided from Saturday, June 21st, 2025 until departure on Saturday, June 28th, 2025. Any accommodations outside of these dates must be justified and approved by Maggie Payeur at [email protected].
- We cannot ensure room availability before Saturday, June 21st, 2025
- Rooms will be allocated. All accommodations are designated as non-smoking and will necessitate the student to check-in with their own credit card to cover incidental charges. All room + tax expenses will be directly billed to UCAR.
- Student accommodations will be assigned on a shared basis.
- Students accompanied by family or guests should arrange their own lodging and can apply for a maximum reimbursement of $75.00 per night. A detailed, itemized receipt in the name of the student will be necessary for reimbursement consideration.
- IF YOU ARE NOT UTILIZING THE SHARED LODGING, IT IS IMPERATIVE THAT YOU NOTIFY MAGGIE PAYEUR AT [email protected] Simply informing your Travel Coordinator is inadequate. You must advise both.
If you need to CANCEL your CEDAR shared lodging, please email Maggie Payeur at [email protected]
